Project 2 · Owner portal
The owner can check the clinic in one place.
BrightSmile Owner Portal brings sales, expenses, deposits, clinic activity, dentist figures and data warnings into one read-only view. Staff keep using the tools they already have.
- See what is happening
- Check the clinic's money
- Spot problems early
- View without editing
The problem
The records can exist and still be hard to check.
A clinic may already record sales, expenses, deposits, HMO payments, X-ray activity and dentist work. The owner may still have to move between several spreadsheets and reports to understand the whole clinic.
The problem is not always missing information. The owner needs one dependable place to check the clinic's activity, money and problems together.
- Figures are scattered. Important numbers sit in separate spreadsheets and reports.
- Checking takes too long. The owner has to rebuild the full picture before acting.
- Problems are easy to miss. Missing, old or mismatched data can look like an ordinary blank.
The solution
A clear owner view above the tools staff already use.
Staff keep using the clinic's existing tools. The portal reads prepared summary figures and shows them to the owner. It cannot add, edit or delete clinic records.
- Tools staff already use
- Prepared summary figures
- Read-only portal
- Owner checks the clinic
Portal walkthrough
Start with the month, then check each day.
The owner can check sales day by day and open a separate view for expenses. The selected month stays the same while moving through the portal.
Clinic finances
Check the clinic's money without changing the records.
The portal puts clinic sales, expenses, profit, margin, HMO collections and deposits in one place for the owner to check.
- The same rules are used everywhere. The overview and detailed money pages calculate figures in the same way.
- Totals connect to more detail. The owner can move from a main figure to its category or saved records.
- The portal is for checking. Staff still make changes in the tools where the original records are kept.
HMO and bank deposits
See the available HMO and bank details without making up missing records.
Five HMO providers are compared with names and amounts shown directly on the chart. A second chart shows how collections change by month. The bank page shows individual NDB deposits and the available PCB provider-payment records. It clearly explains why the level of detail is different for each bank.
X-ray performance
Check the X-ray unit without losing the full clinic picture.
The X-ray unit has its own sales, activity, trends and expenses. Those figures also remain part of the owner's full clinic view.
Dentist performance
Compare the team, then open any dentist for more detail.
The comparison shows each dentist's sales, patients, payment methods and duty days. The owner can open any row for a closer view. The portal displays figures prepared by the clinic's records; it does not calculate dentist commissions.
Alerts and system health
Know when information is missing, old or could not be refreshed.
The portal separates serious problems, warnings and simple notices. It also shows whether each source is current. If a live source cannot be read, the affected page says it is unavailable instead of quietly showing made-up or older figures.
Phone and desktop
Designed for review at a desk and a quick check on a phone.
A computer gives more room for tables and comparisons. On a 390-pixel phone screen, the menu moves behind a button and the main owner figures remain readable without sideways scrolling.
Read-only safety
The portal can explain the numbers without becoming another place to edit them.
Clinic records stay in the clinic's Google account. The server reads only approved spreadsheets and sends prepared summary figures to the portal. The portal has no way to add, change or delete clinic records.
- Existing workbooks
- Prepared summary sheets
- Server reads the figures
- Owner portal
What the portal does
- Reads approved financial and clinic summary figures
- Shows daily, monthly and year-to-date owner views
- Warns when information is missing, old or does not match
- Keeps spreadsheet passwords and access details on the server
What it deliberately does not do
- Add, edit, approve or delete staff records
- Replace the staff data-entry system
- Store patient names, chart data or clinical notes
- Replace a failed live check with a believable made-up number
Security and access
The system checks access before showing a page or sending any figures.
The hosted portal uses Google sign-in and a list of approved email addresses. After sign-in, the server keeps a protected session and checks access again before it sends any figures.
- Limited sign-in request. The demo asks only for identity and email, not access to the user's spreadsheets.
- Approved emails only. Signing in is not enough; the email must also be on the approved list.
- Passwords stay on the server. Spreadsheet access details are never sent to the browser.
- Separate demo. The portfolio demo has its own hosting, Google sign-in setup and made-up data.
Built for the owner
The portal focuses on what the owner needs to see.
Staff can keep using the tools that fit their daily work. The owner portal brings the important clinic numbers and reports into one clear place.
The dashboard sections and monitoring structure were designed around actual clinic owner reporting needs. For another clinic, the setup can be adapted to the way that clinic already records its information.
30 Days of Owner Portal Access Included. This is an optional 30-day trial for paid workflow projects where owner monitoring is useful. The paid workflow continues after the trial ends.
Portfolio disclosure
Fictional data. Real workflow structure. BrightSmile Dental Center and every public name, amount, dentist profile, payment and record in these screenshots are fictional. This protects real clinic information.
The workflow structure, app logic, reporting structure and owner dashboard are based on actual dental clinic operations and real owner reporting needs. This is a working portfolio version of structures proven around real clinic work, not a randomly invented mockup.
No client results, revenue effect, time savings or return-on-investment figures are claimed. This page shows the portal and how it works.
FREE Clinic Workflow Check
Find what is causing repeated work in one clinic process.
The free check includes a first conversation, a review of one workflow, the current flow, the main bottlenecks and a simpler recommended high-level flow. Building and implementing the actual system is a separate paid project.
